Vacation Club Promo (“we,” “us,” “our”) operates vacationclubpromo.com. This policy explains what information we collect, how we use it, and your choices regarding that information.
Information We Collect
When you interact with our website or booking process, we may collect:
Information you provide directly: Name, email address, phone number, mailing address, date of birth, marital status, household income range, employment status, and travel preferences. This information is collected during the qualification and booking process. We also collect any information you submit through contact forms, email signup forms, and chat tools on the site.
Communications and recordings: All telephone calls, voice-agent conversations, text messages, chat conversations, emails, voicemails, and other correspondence are recorded, transcribed, and archived for quality assurance, booking accuracy, legal documentation, dispute resolution, and fraud prevention. By contacting us through any channel, you consent to recording and processing of those communications.
Automatically collected information: IP address, browser type, device information, pages visited, time spent on pages, mouse movements, clicks, scroll behavior, and referring URLs. We collect this through standard web analytics and session-replay tools described below.
Cookies and tracking technologies. We use cookies, pixels, and similar technologies for analytics, performance, and to remember your preferences. You can disable cookies in your browser settings, though some site features may not function properly without them. See our Cookie Policy for the full list of cookies and how to opt out of each.
Tracking Tools In Use
We are transparent about every third-party tool that runs on this site:
- Google Tag Manager (GTM) â manages and deploys the other tracking scripts. GTM itself does not collect personal data.
- Google Analytics 4 (GA4) â measures aggregate site usage (pageviews, session duration, traffic sources). IP addresses are anonymized. We do not use GA4 audiences for advertising.
- Microsoft Clarity â records anonymized session replays and generates heatmaps so we can see where visitors get stuck. Clarity may record mouse movements, clicks, and scroll behavior. We mask form fields and do not intentionally capture personally identifiable information in replays. See Microsoft’s Privacy Policy for details.
- Brevo â handles email signup forms and transactional email (booking confirmations, follow-ups). If you submit your email address through any form on the site, that email is stored in Brevo for the purpose of communicating with you about VacationClubPromo.com.
- DocuSign â processes your electronic booking agreement.
- Telnyx â provides our AI voice agent and call recording infrastructure.
- YouTube â embedded videos. YouTube may set its own cookies on your device when you load a page with an embedded video. We have no control over YouTube’s cookie behavior.
If we add a new tracking tool, we update this Privacy Policy and the Cookie Policy before the tool goes live.
How We Use Your Information
We use collected information to:
- Determine your eligibility for promotional resort packages
- Process and manage your resort booking
- Communicate with you about your reservation (confirmation, reminders, changes)
- Send your booking agreement via DocuSign for electronic signature
- Share your qualified booking information with our resort partners so they can confirm your reservation
- Improve our website and services
- Comply with legal obligations
Third Parties We Share Information With
We share your information only with parties directly involved in fulfilling your booking:
Resort partners (Sandos Resorts, Villa del Palmar / Villa Group, Krystal International Vacation Club) receive your booking details and qualification information to process your reservation.
DocuSign processes your electronic booking agreement.
Payment processors handle any payments related to your booking.
Google Analytics receives anonymized website usage data.
We do not sell your personal information to third parties. We do not share your information with unrelated marketers or advertisers.
Data Retention
We retain your booking and qualification information for up to 3 years after your most recent interaction to support any follow-up inquiries, rebooking requests, or dispute resolution. After that period, records are deleted or anonymized.
Website analytics data is retained according to Google Analytics’ standard retention policies.
Your Rights
You may request to:
- Access the personal information we hold about you
- Correct inaccurate information
- Delete your personal information (subject to legal retention requirements)
- Opt out of marketing communications
- Receive a copy of your information in a portable format

State and International Privacy Rights
California residents (CCPA / CPRA): California residents have additional rights under the California Consumer Privacy Act, including the right to know what categories of personal information we collect, the right to request deletion, the right to correct inaccurate information, the right to opt out of the “sale” or “sharing” of personal information for cross-context behavioral advertising, and the right to limit use of sensitive personal information. We do not sell personal information as defined under the CCPA, and we do not “share” personal information for cross-context behavioral advertising. To exercise California rights, contact us at the email above with subject line “California Privacy Request.”
Other U.S. states with comprehensive privacy laws (Virginia, Colorado, Connecticut, Utah, and any state that adopts equivalent legislation in the future): you may exercise rights of access, correction, deletion, and opt-out of targeted advertising by contacting us at the email above. Florida currently has a narrower privacy framework that does not provide a comprehensive private right of action; however, we honor access, correction, and deletion requests from Florida residents on the same terms as residents of states with comprehensive laws.
EU, UK, and other international visitors: If you are located in a jurisdiction with data protection laws (GDPR, UK GDPR, etc.), you may have rights of access, rectification, erasure, restriction of processing, data portability, and the right to object to processing. The site is operated from the United States and is primarily directed at U.S. and Canadian visitors.
